Privacy policy

AgentBrandHQ ("we", "us") builds and hosts websites for real estate agents in the Greater Toronto Area. This policy explains what personal information we collect on agentbrandhq.com and on the agent websites we host, why, and what we do with it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

• Forms. When you ask for a preview site, book a showing, request a home valuation or send a message, we collect what you type: typically your name, email, phone number, brokerage, and the details of your request.
• Assistant conversations. If you use the AI assistant on a site, we process the messages you send so it can answer. If you tap "Send to" an agent, the conversation is included in the enquiry they receive.
• Technical data. Your IP address and basic request logs, used to keep the service running and to stop abuse (for example, rate-limiting the assistant).

We don't use advertising trackers, and we don't sell or rent personal information.

How we use it

• To pass your enquiry to the agent whose site you used, or to reply to you ourselves if you contacted AgentBrandHQ.
• To summarize and prioritize enquiries for the agent. Each enquiry is read by an AI model that produces a short summary, a priority and a suggested reply. The agent decides whether and how to respond; nothing is sent to you automatically.
• To operate, secure and improve the service.

Who processes it for us

We use a small number of service providers, each only for the purpose listed:

• Anthropic (Claude API): generates assistant replies and enquiry summaries. Under Anthropic's commercial terms, API inputs and outputs are not used to train its models.
• Railway: hosts the websites and stores enquiries.
• Resend: delivers enquiry notification emails.
• Cloudflare: domain name and email routing.

Some of these providers process data outside Canada, including in the United States, where it may be accessible to authorities under local law.

The AI assistant

The assistant is an AI, and it says so. It gives general information about listings shown on the site and about buying and selling in Ontario. It does not give legal, tax, mortgage or investment advice. Please don't share sensitive information (such as financial account or government ID numbers) in the chat.

How long we keep it

We keep enquiries for as long as the agent's site is active with us, and for up to 12 months afterwards so the agent can export them. You can ask us to delete your information sooner.

Your choices

You can ask to see, correct or delete the personal information we hold about you, or withdraw consent, by emailing hello@agentbrandhq.com. We'll answer within 30 days. If you contacted an agent through their site, that agent also holds a copy of your enquiry and handles it under their own privacy obligations.
